Smarter Workflows. Practical AI.

Find the hours and customers your team loses every week.

We help small businesses and organizations in Toronto identify inefficiencies, simplify everyday processes, and find practical opportunities for AI and automation.

The problem

Most small businesses lose time and revenue in small leaks, not one big one.

These are the bottlenecks I see most often:

  • 01

Calls and messages answered late, or not at all

A customer calls while you're with someone else, and by the time you call back they've booked with someone who answered.

  • 02

Documents and approvals you have to chase

Forms, signatures, photos and paperwork that need two or three reminders before they come in.

  • 03

The same information typed in multiple times

Details copied from an email into a spreadsheet, then into an invoice, then into a calendar.

  • 04

Follow-ups that slip when things get busy

Quotes that never get a second nudge, and past customers who never hear from you again.

  • 05

A website that's hard to use

Broken links, forms that don't work, no easy way to get in touch. People give up and go elsewhere.

  • 06

    Time-consuming manual admin

Chasing invoices, sending appointment reminders, updating records, and answering the same questions over and over.

Each one seems small. Together they often cost hours every week, and customers who go elsewhere.

What I do

How it works, from first call to a plan you can follow.

I look at how your business works today, identify where time and effort are being lost, and recommend practical improvements—including AI and automation—only where they'll make a real difference.

  1. Step 1

    Free 15-minute call

We talk about how your team works and whether an assessment makes sense. No charge, no obligation.

You now have: a straight answer on whether an assessment is worth it for you.

  2. Step 2

    Intake and discovery

You fill in a short intake form, then we talk through how work really moves: calls, messages, paperwork, follow-ups. I can visit in person if you're in Toronto.

You now have: a clear picture of how work actually moves through your business.

  3. Step 3

A plan you can act on

You get a short list of fixes ranked by payoff, with rough costs and effort. Sometimes the first fix is a feature you already pay for and haven't switched on.

You now have: a ranked list of fixes with rough costs, and a first step you can start this week.

  4. Step 4

    Setup (optional)

I can build or set up the fixes, quoted separately.

You now have: the fixes built and running, with instructions your team keeps.

What you get

A short, plain-English report and a plan you can actually follow.

  • A 1–2 page summary

Your top findings, the estimated hours lost and revenue at risk, and a plan in priority order.

  • A detailed appendix

The working behind every number: what I measured, the assumptions I made, and where the figures came from.

  • A 30–60 minute walkthrough call

We go through the findings together so you can ask questions and decide what to do first.

  • One “first week” quick win

A small, practical fix you can put in place right away, so you see progress before the bigger changes.

Hours-lost and revenue-at-risk figures are estimates built from your own numbers, such as how many calls you get and what an average job is worth. They aren't guarantees.

Who it's for

Small local businesses with roughly 1 to 20 staff.

It's a good fit if the owner is still close to the day-to-day work, and busy enough that small delays add up.

It's probably a fit if:

  • You or your team answer calls and messages between other tasks.
  • You do the same task by hand every week.
  • You chase the same documents or approvals every week.
  • You know follow-ups slip, but there's never time to fix the system.
  • You've wondered whether AI tools are worth it, but don't know where to start.

Probably not if:

  • You want AI added to work that already runs fine.
  • You want a tool recommendation without looking at how the work actually flows.

Good fits include:

  • Trades and home services (HVAC, plumbing, pest control)
  • Clinics and spas
  • Childcare centres
  • Studios and small practices
  • Realtors

About

Hi, I'm Xing. I build practical systems for busy small businesses.

I'm based in Toronto, with a background in data science and systems design. Most of my work comes down to one question: where is time going, and what's the simplest way to get it back?

I'll tell you honestly when a tool isn't worth the money, and I'll explain everything in plain English. If you want, I'll set it up for you too.

FAQ

Common questions

What does the assessment cost?

$750, flat. You know the price before we start, and there's no hourly billing. If you want help setting things up afterwards, 50% of the assessment price is credited toward that work.

What is an AI assessment?

An AI assessment is a fixed-price review of how your business handles calls, messages, paperwork and follow-ups, to find where time and customers are slipping away. I then tell you which AI and digital tools are worth paying for to fix it, in priority order. You get a plan in priority order, not a pile of jargon.

Is this an AI audit?

That’s the usual name for it, yes. I call it an assessment because the work is broader than a review of your tools — it’s a look at how your business actually runs, and what’s worth changing.

Why not just ask ChatGPT?

ChatGPT only knows what you tell it. It can't see the handoffs between your staff, the habits your team has built up, or where information gets lost along the way. I ask the questions you wouldn't know to put in a prompt, then compare AI tools, ordinary software and simple process changes against what your business actually needs. Often the best answer isn't AI at all.

How long does an assessment take?

Most assessments take 5 to 7 days from the intake form to the walkthrough call.

What if I want help setting things up?

I can set up the recommended tools for you after the assessment. Implementation is quoted separately, once we both know exactly what's needed, and 50% of the assessment price is credited toward that work. There's no obligation: the plan is written so you, your team or someone else can follow it.

Will you share my business information?

No. I use your information only to do your assessment, and I don't sell it or share it with other businesses. The privacy notice explains what I collect and how long I keep it.

Do you guarantee results?

No, I don't guarantee results. Time savings and revenue-at-risk figures are estimates built from your own numbers, and I show the assumptions behind each one so you can check them. What you can count on is a clear, honest plan, including a straight answer when a tool isn't worth the money.
